Host Check-In: How To
Host check-in confirms the vehicle, driver, and starting readings for the trip. The app and host web use the same trip record but have different capture tools.
Prelaunch: Live trips are not open yet. This article describes the host check-in flow currently built for launch.
When check-in opens
The check-in action opens 24 hours before scheduled pickup for a booked trip. Complete it at handoff before the guest drives away.
In the Carvia app
The host app provides the complete guided flow:
- Confirm the guest and inspect the driver's license during an in-person handoff.
- Follow the exterior and interior photo prompts.
- Record the odometer and fuel or EV charge level.
- Allow the location reading when prompted and available.
- Review the inspection and submit the host confirmation.
Photograph existing scratches, dents, wheel damage, glass damage, interior wear, warning lights, and any other condition that could matter later.
On host web
Host web is a confirmation flow rather than the same mobile photo wizard:
- Open the booked trip from Host trips.
- Choose the check-in confirmation.
- Review the guest handoff record when one exists.
- Add or confirm the odometer, fuel or charge level, and handoff notes.
- Submit Confirm check-in.
If there is no guest handoff record yet, the values you enter are saved under your signed-in host account. Host web does not currently ask you to upload a second set of inspection photos in this confirmation form.
Remote handoffs
For a remote handoff, make sure the guest has accurate access instructions and that the vehicle's condition is documented at pickup. Do not rely on an old generic listing photo as trip-condition evidence. The guest must still submit their check-in record, and you must complete the host confirmation required by the trip.
If something is wrong
Do not confirm check-in for an unsafe, unavailable, or materially different vehicle. Message the guest through Host inbox, record what happened, and contact support from the trip when needed.
Why the record matters
Check-in and checkout evidence are compared when Carvia reviews damage, distance, fuel, charging, or handoff disputes. Claims are evaluated from the full record; no individual photo guarantees approval or rejection.
